Equipment Rental Policy
Rental Process, Reservation and Cancellation
Customers can inquire about equipment availability, rates, and reservations via website, phone, email, or in person. Small-scale event rental reservations are required to be confirmed a minimum of 72 hours in advance of an event set up. For larger-scale event set-ups, a minimum of 2 weeks is required to confirm rentals.

A point of contact and contact information is required for all rentals.

Cancellations or changes to reservations must be made within 48 hours to avoid cancellation fees.
Rental Rates and Fees
Rental rates are based on hourly, daily, weekly, or monthly durations.

Additional fees may include delivery, pickup, cleaning, maintenance, and late return charges. If additional fees are applicable, they will be calculated at the time of return.
Deposit and Payment
A 50% deposit is required for all rental reservations. Payment can be made using cash, check or electronic funds transfer. Details for payments is provided on confirmation of rental reservation.
Equipment Condition, Maintenance and Repairs
Equipment is inspected before use with notes of any damages identified. Equipment must be returned in the same condition it was rented, excluding normal wear and tear.

Repairs due to regular wear and tear are the responsibility of the rental company.

Customers should report any equipment malfunctions or issues promptly. Replacement equipment may be provided if available during the repair period.

Customers are liable for any damage, loss, or theft of rented equipment during the rental period.

(For larger scale events it is recommended that customers have their own insurance coverage to protect against liabilities.)
Equipment Use, Restrictions and Safety Guidelines
Equipment should be used only for its intended purpose and in a safe and proper manner.
Usage in hazardous or restricted areas is prohibited. Any modifications to equipment are strictly prohibited.

Customers are required to follow all safety instructions and guidelines provided for equipment use.

Protective gear should be worn as required by industry standards.
Late Returns and Extensions
Equipment must be returned on or before the agreed-upon return date and time. Late returns may result in additional charges.

Requests for rental extensions should be made in advance and are subject to availability.
Dispute Resolution
Any disputes will be resolved through negotiation and mediation.

If no resolution can be reached, legal action may be pursued.
Indemnification
Customers agree to indemnify and hold Crown Events, Rentals and Services Ltd. harmless from any claims arising from equipment rental and use.
